PPT Interface Introduction

1. Title Bar: Located at the top of the PPT window, it displays the name of the presentation file. On the right side of the title bar, there are usually minimize, maximize / restore, and close buttons for easy window operation.

2. Menu Bar: Contains various command options, such as File, Start, Insert, Design, etc. By clicking different menus, you can perform corresponding functions, such as creating a new file, opening, saving, and printing in the "File" menu.

3. Quick Access Toolbar: Usually located on the left side of the title bar, it can customize commonly used tool buttons, such as Save, Undo, and Redo, to quickly execute these operations and improve work efficiency.

4. Function Area: Based on different functions, it displays operation commands in the form of tabs and groups. For example, the "Start" tab includes common font, paragraph, and editing operations for text; the "Insert" tab can insert pictures, charts, shapes, and text boxes into slides.

5. Slide View: In this area, you can see thumbnails of all slides in the presentation, making it easy to browse, select, sort, copy, and delete slides.

6. Slide Editing Area: This is the core area of PPT, used to edit the content of the current selected slide. You can add text, pictures, charts, and other elements to this area, and arrange and set animation effects for them.

7. Note Window: Below the slide editing area, it can be used to add notes to the current slide. These notes will not be displayed on the screen during the presentation, but they can help the presenter better understand and explain the slide content during the presentation. They can also be used as reference materials for printing handouts.

8. Status Bar: Located at the bottom of the PPT window, it displays the slide number, total number of slides, and view mode information. You can also quickly switch views by clicking buttons on the status bar, such as normal view, slide preview view, reading view, and slide show view.

Basic Slide Operations

9. New Slide: Click the "New Slide" button on the "Home" tab, or-click in the Slides pane and select "New Slide" to add a new slide to your presentation. You can also quickly create a new slide using the shortcutCtrl M".

10. Selecting Slides: Click a slide thumbnail in the Slides pane to select a single slide. To select multiple consecutive slides click the first slide, then hold down the "Shift" key and click the last slide. To select multiple non-consecutive slides, hold down the "Ctrl key and click the desired slide thumbnails.

11. Copying and Moving Slides: After selecting the slide(s) you want to copy or move, click "Copy" or "Cut" button on the "Home" tab, then place the cursor at the target location and click the "Paste" button to complete the. You can also use the "Copy," "Cut," and "Paste" options in the right-click menu, or use the shortcuts "Ctrl C"copy), "Ctrl X" (cut), and "Ctrl V" (paste). Additionally, you can move a slide by directly dragging its thumbnail in Slides pane; holding down the "Ctrl" key while dragging will create a copy of the slide.

Text Processing

13. Adding Text: Click the "Text Box" button in the "Insert" tab, then drag mouse in the slide editing area to draw a text box, and you can enter text within the text box. You can also directly enter text in placeholders (such title placeholders, subtitle placeholders, etc.).

14. Setting Text Format: Select the text you want to format. In the "Home" tab, you set the font, font size, color, bold, italic, underline, and character spacing of the text. You can also open the "Font" dialog box more detailed settings, such as setting the font's superscript, subscript, shadow, strikethrough effects, and the "Paragraph" dialog box to set the's alignment, indentation, line spacing, and other paragraph formats.

15. Text Alignment and Distribution: Select multiple text boxes or paragraphs. In the "Paragraph group of the "Home" tab, you can perform operations such as left alignment, right alignment, center alignment, justify, and distribute alignment. If you want evenly distribute multiple text boxes horizontally or vertically, you can first select these text boxes, then in the "Drawing Tools - Format" tab (this tab appears when select a text box), choose "Distribute Horizontally" or "Distribute Vertically" from the "Align" drop-down menu

16. Inserting Images: Click the "Insert" button in the "Insert" tab, the image file you want to insert in the pop-up file browser, and then click "Insert" to add the image to the slide. After insertion, the image be resized by dragging the control points on the edges of the image. In the "Picture Tools - Format" tab, you can crop, rotate, and adjust image style (such as adding borders, shadows, and soft edges), as well as set image effects (such as changing the brightness, contrast, and saturation of image).

17. Inserting Graphics: In the "Insert" tab, click the "Shape" button, and choose various shapes from the drop-down menu such as rectangles, circles, arrows, flowcharts, etc. Then, drag the mouse in the slide editing area to draw the shape. After drawing, the can be resized, rotated, and moved like an image. In the "Drawing Tools - Format" tab, you can set the fill color, outline color, effects (such as 3D effects and shadow effects) of the shape. You can also combine, align, and distribute multiple shapes, making it convenient to complex graphic combinations and charts.

View Modes

18. Normal View: This is the most commonly used view mode in PPT, consisting of slide pane, slide editing area, and notes pane. In normal view, you can conveniently edit a single slide, add content, set formatting, etc., while being able to view and edit the notes for the slide.

19. Slide Browse View: By clicking the "Slide Browse View" button on the status bar selecting "Slide Browse" under the "View" tab, you can enter slide browse view. In this view, you can see thumbnails of all the slides in presentation, making it easy to browse, sort, copy, and delete slides, and quickly understand the overall structure and layout of the presentation.

20. Reading View: Similar to slide show, but in reading view, the presentation plays in a window rather than full screen. You can enter this view by clicking the "Reading View button on the status bar or selecting "Reading View" under the "View" tab. In reading view, you can switch slides by clicking the mouse or using arrow keys on the keyboard, which is suitable for viewing the content of the presentation without a full-screen display.

21. Slide Show View: This is the mode used for formal presentations. You can start a slide show by clicking the "Slide Show" button on the status bar, selecting "Slide Show" under theView" tab, or directly pressing the "F5" key. During the slide show, the slides are displayed full screen, and can be presented according to set animation and transition effects. You can switch slides by clicking the mouse, using the arrow keys on the keyboard, "Page Down", "Page Up", etc and press the "Esc" key to exit the slide show.
